Registration guidelines

This year we received over 1,500 submissions, which is an all-time record!

The conference programme will reflect the high quality level of the accepted papers.

This year’s Conference venue can accommodate a maximum of 700 participants.
This planning is consistent with participation in previous years.
However, since there was a record number of paper submissions this year, we are experiencing a demand for in-person participation that exceeds our capacity.

Therefore, we have closed registration for in-person participation. If you are interested in participating in-person, please email eaere@eaere.org and ask to be placed on a waiting list. If there are any cancellations, we will call the first people placed on the waiting list.

Please do consider participating in our online programme! 

Our online programme features plenary sessions, high-level policy sessions and thematic sessions, and the institutional events.

We encourage you to register for online participation and take part in the large selection of sessions that is being offered online.

EAERE made an effort to keep registration fees for online participation as low as possible, even lower than last year. We hope that this can make online participation more attractive and affordable for all, making our event as inclusive as possible. 

 

 


The Conference will take place in person, with a portfolio of online events as part of the programme.

Presentations will be held exclusively in person: all presenters must attend in person (remote presentation is not foreseen). If you are a presenting author, please be aware that by registering for the EAERE2024 Conference, you commit to being available throughout the duration of the conference and accept that your presentation may be scheduled on any of the three days of the conference that include presentations (2-4 July).

Online participation is available to attend plenary, thematic, and policy sessions in streaming mode.

Registration is required for both in-person and online participation.

EAERE membership in the year 2024 is a requirement to attend the Conference. Non-members are requested to join EAERE as part of the Conference registration process.

This year the Conference venue can accommodate a maximum of 700 participants.
This number is comparable to the number of participants of the last two years, but since there was a record number of paper submissions this year, there may be a demand for participation that exceeds our capacity.

To mitigate this situation, this year we are handling the registration process as follows:
• registration will be organised as a two-step process, prioritising presenters of accepted papers. Each accepted paper is presented by one person only. A first round of registrations will be open to presenting authors only and will be followed by a second round of registrations open to all. Registration for in-person participation will close when we reach maximum capacity.
Online registration will remain open until the start of the Conference.

• EAERE made an effort to keep registration fees for online participation as low as possible, even lower than last year. We hope that this can make online participation more attractive and affordable for all, making our event as much inclusive as possible.

IN-PERSON PARTICIPATION

Presenting authors must register between 29 March and 30 April 2024. After this date, all other participants can register.

Description of Registration Categories

  • Premium registration fee: Includes access to all sessions, coffee breaks, lunches, welcome reception, social event and conference dinner. Please note that registration for the conference dinner is subject to availability. Please choose this registration fee category if you would like to provide additional support to the Association. Otherwise, you can opt-out and pay a standard and lower registration fee.
  • Standard registration fee: Includes access to all sessions, coffee breaks, lunches, welcome reception, social event and conference dinner. Please note that registration for the conference dinner is subject to availability.

Accompanying Persons
Accompanying persons can be registered by conference participants during the registration process. Accompanying persons’ registration includes access to the welcome reception and social event. (Access to sessions, coffee breaks and lunches is not included.) The conference dinner is included for those who pay for the conference dinner. Note that registration for the conference dinner is subject to availability.

CO2 OFFSET

Participants are offered the possibility to offset the CO2 emissions related to their participation in the Annual Conference by supporting one of the projects suggested by the Local Organising Committee. Both in-person and online participants are encouraged to consider this opportunity to contribute to mitigate the EAERE Conference's carbon footprint. Participants can opt for not compensating, or compensating with a contribution of EUR 16.00, EUR 32.00 or EUR 64.00.

 


PROMOTIONAL CODES

Specific participants will be sent by the Conference Organisers a promotional code before registration. These participants should register by entering their promotional code in the registration form. Participants who were not sent a promotional code should simply state that they do not have a promotional code at the beginning of the registration process.

 


PAYMENTS

Registration fees can be paid with a credit card (Visa, Mastercard or American Express), or via bank transfer or Western Union Money Transfer. We do encourage you to use your credit card for payment.
Please note that an administrative fee of EUR 20 will be charged on payments made via bank transfer or Western Union Money Transfer. Moreover, any charges are the responsibility of the payee and are to be paid at the source in addition to the registration fee.
Once the payment process is completed, registered participants can download their receipt at the EAERE member's password-protected area autonomously, at any time. All payments need to be settled in advance of the Conference, in agreement with settled deadlines.

 


CANCELLATION POLICY

Registration can be cancelled upon written notification to eaere@eaere.org, with the following conditions:

  • No refunds of the administrative fee of EUR 20 (if charged), the EAERE membership fee, the subscription to the print version of the journal Environmental and Resource Economics (ERE), and the subscription to the print version of the journal Review of Environmental Economics and Policy (REEP) will be given. Bank fees will be charged on all refunds.
  • A full refund of the registration fees will be given for cancellation requests received by May 10th, 2024.
  • No refunds of the registration fees will be given for cancellation requests received after May 10th, 2024.
  • There will be no refund for no-shows.
  • In the case that the Organisers of the event are unable to deliver it in the format originally envisaged (hybrid format, with in-person and online participation) and are forced to hold the event in a fully online format or to cancel it permanently, due to acts of God, an outbreak of severe contagious epidemic preventing the organisers from running the event, war, civil commotion, fire, flood or other casualties, major strikes, labour difficulties, shortages of labour, materials or equipment, government regulations, unusually severe weather, or other causes beyond its reasonable control, the Organisers shall not be liable to any other party for any damages resulting from this situation, and shall not refund registration fees. In the event of an in-person conference cancellation, the Organisers will use their best efforts to move the event fully online and provide presentations remotely.
  • Note that in case of failed visa applications, there will be a reimbursement of the fee against appropriate documentation (details of the refund as already described for the other cases).

 


VISA

Belgium is a European Union member state and part of the Schengen zone. Travelling to Belgium is easy and the documentation required varies, depending on your nationality.
For European citizens, a national identity card or passport is usually sufficient. In case of doubt, please check with your home country foreign office which travel documents you need for traveling to Belgium.
For third countries, Schengen Visa holders are allowed to enter Belgium. The Schengen Visa makes traveling between 25 member countries (22 European Union member states and 3 non-EU members) much easier and less bureaucratic. Traveling on a Schengen visa means that the visa holder can travel to any (or all) member countries using one single visa, thus avoiding the hassle and expense of obtaining individual visas for each country. A Schengen visa allows the holder to travel freely within the Schengen countries for a maximum stay of up to 90 days in a 6 month period.

Citizens of these countries are required to have a visa to enter Belgium.

Citizens of these countries are not required to have a visa to enter Belgium.

The Local Organising Committee will, on request, provide an invitation letter to conference participants who need to obtain a visa.

Please register for the conference (which includes the payment of the registration fee) and then request an invitation letter by sending your request to eaere2024@kuleuven.be, together with:
a) a copy of your passport,
b) your full affiliation,
c) full professional address.
Incomplete requests will not be considered.


Please do allow ample time, as the process of applying for a visa can be lengthy.
